COVID-19 Update 3

December 14, 2021, By IHQ

Updated COVID-19 Directives and Guidelines

All chapters are directed to strictly comply with the following policies and guidelines. The Directives and Guidelines below are in addition to applicable local (municipal and state) healthcare guidelines. Activities resulting in COVID-19-related claims are not covered under the Fraternity’s general liability insurance policy.

Until further notice, the following COVID-19 Directives and Guidelines are in effect as of November 14, 2021.

PROOF OF VACCINATION REQUIRED FOR FRATERNITY LIVE GATHERINGS AND EVENTS

  • According to the CDC, while vaccination does not prevent Covid-19 infection, it does protect against serious illness and death and dramatically slows the spread of Covid-19 transmission. The US Food and Drug Administration has granted full approval for the Pfizer, Moderna and Johnson & Johnson vaccines, which are widely available to any person who wishes to be vaccinated.
  • Phi Beta Sigma seeks to provide a safe environment for all who participate in our events and activities and has formally endorsed and encouraged all members to get fully vaccinated. In addition, Chapters have been encouraged to support and advocate for full vaccination in their respective communities.
  • Only members who have been fully vaccinated, and who provide proof of such vaccination to the Fraternity’s International Headquarters shall be allowed to participate live and in-person in any Fraternity State, Regional or National meeting or gathering, including state and regional conferences.

IN-PERSON MEETINGS AND EVENTS WITH OUTSIDE INVITEES (NON-SIGMA BUSINESS EVENTS)

Chapters may host in-person events and activities consistent with the programs and objectives of the Fraternity in accordance with the following:

  • All attendees at such functions and events must show proof of vaccination or provide evidence of a negative PCR test taken within 72 hours of the event.
  • All members of the fraternity in attendance must have completed the assigned risk management training and all attendees must sign the Waiver and Release form. All waivers must be submitted to the IHQ within three days at the conclusion of the event.
  • All collegiate chapters must comply with the rules of their college/university. The graduate advisor and state director (where applicable) should be familiar with the rules of each institution to ensure compliance. The graduate advisor should supply the Greek life office a copy of the fraternity’s current policy. If the college or university allows off campus events, chapters must comply with CDC guidelines and/or all state, county, city, or local municipality guidelines.
  • In addition to proof of vaccination and/or negative PCR test result specified above, all chapters are required to comply with CDC guidelines and/or all state, county, city, or local municipality guidelines to the extent that any additional restrictions are mandated.

Personal Responsibility and Failure to Adhere

  • For chapters, states, and/or regions planning in-person events and activities, leadership acknowledges that failure to enforce the fraternity’s COVID-19 policy may subject them to personal liability, including indemnity and defense costs, should the Fraternity face any legal claim related to COVID-19 as a result of the chapter, state or region sponsored event or activity.
  • Any Chapter or Member who violates this Directive shall be subject to disciplinary action pursuant to the Uniformed System of Sanctions.
